How HVAC reps should track system age, comfort complaints, and replacement timelines so no hot lead goes cold.
The age threshold
Systems over 10 years old are replacement candidates. Systems over 15 are almost certainly replaceable. Log the age on every door.
Fields that matter
- System age and brand
- Last service date (if known)
- Comfort complaints (hot rooms, humidity, noise)
- Energy bill trend
- Warranty status
- Filter type and change frequency
- Home size and story count
Follow-up timing by situation
- Tune-up booked → confirm day before
- Repair needed → quote within 24 hours
- Replacement candidate → load calc + quote within 48 hours
- Not ready → seasonal re-knock (pre-summer, pre-winter)
