How Roofing Reps Should Track Doors, Inspections, and Follow-Ups

A field-tested system for tracking every door, every inspection, and every claim — without a single spreadsheet.

The five states every roofing door is in

  • Not knocked
  • Knocked, no answer
  • Inspected, no damage
  • Inspected, damage found
  • Claim filed / approved / scheduled / built

What each state needs from you

  1. Not knocked — get it knocked. Filter the map to 'no pin'
  2. No answer — retry at a different time of day. Two retries max
  3. No damage — leave a card. Pin gray. Move on
  4. Damage found — photo + sketch + insurance carrier + adjuster reminder
  5. Claim in progress — weekly status check. Adjuster-meeting reminder

The manager view

Open the dashboard once a day. Look for: damage-found leads with no claim filed, claims older than 14 days with no update, and approved claims not yet scheduled for build.
